Email for Life FAQs

What is Email for Life?

This is the facility provided by the University to allow recently graduating students to continue to access their student mailboxes and use their student email addresses after they have left the University.  It is not a mail-forwarding system.

Who is entitled to apply for Email for Life?

At present, this facility is only extended to recently graduated students, i.e. the class of 2011.  Information Services will normally delete student mailboxes within a certain period after graduation unless a student actively opts in to Email for Life.  As such, graduates from previous years cannot apply, as their mailboxes will have been inactivated.

I am an ex-member of staff – can I have Email for Life?

Only staff working for the University have the right to use a Queen’s University staff email address.

In normal circumstances, when a member of staff leaves the University their use of Queen's email will cease.  Once a staff member ceases employment with the University, Information Services will suspend their staff email account.  As part of their handover of responsibilities staff leaving the University should make available any emails relating to the work of the University.

It is the responsibility of staff members to advise friends or others with whom they wish to retain email contact after leaving the University of any new email address that they intend to use.

In some situations staff leaving the University may ask to continue using the Queen's email system for a limited period after their employment with the University ends.  Such requests should be made to advisory@qub.ac.uk, and will only be approved by Information Services in exceptional circumstances where a clear justification has been made.  Any continued use of this kind will be for a limited time only.

The University may award an honorary title to former academic staff in recognition of a continued role with the University.  An honorary title carries with it the right to have and use a Queen's email address.

How do I register for it?

When signing up on-line for the Graduation ceremony there is a facility to opt in.  If the option is not exercised then, you can register via http://www.qub.ac.uk/mailtools/email4life/ within 3 months of graduation (ie October for Summer graduation and March for Winter graduation).

How do I access my mailbox?

'Graduates' can no longer access their mailboxes via Queen's On-line. Instead mailboxes are accessible via the internet using a web browser directed to https://owa.qub.ac.uk/owa/. Enter your student number and password to log in. Graduates' mailboxes are located on the University Exchange service and these are accessed via Outlook Web Access (OWA). Those logging in via OWA may be prompted to log in a second time.

The username format has changed.  You no longer use a letter before your student number.  Just use your full student number.

What do I do if I cannot access the service or have forgotten my password?

Contact Amanda Edwards in the Development Office (amanda.edwards@qub.ac.uk) who will liaise with Information Services.

Does it cost anything?

No, Queen’s do not charge for this service.
